Question:
How do I make a group of applicants inactive? What is the difference between making them inactive and deleting them?
Solution:
Care needs to be taken before making groups of people inactive and deleted and we suggest you make sure you have read and understood the next two paragraphs before going through the process
NOTE: Making an applicant Inactive changes their status from what it was previously to 'Not looking'. Deleting makes the applicant invisible unless specific searches include deleted applicants. Perhaps the easiest question to ask yourself is 'Is it likely in the short term that the status of that applicant may change?' If the answer is 'yes' a change to Inactive is probably easier than Deleting them.
NOTE: If applicants are made inactive as a group there is no way to ascertain what their previous status was if a mistake is made, so care needs to be taken as accurately reversing the process is impossible. The system does warn several times for confirmation.
If applicants are deleted as a group the process can be reversed individually by yourselves but you would need to ask for support involvement to reverse the process in bulk. So again, take care before doing it.
1. Go to Person at the top of the screen and Create group of people
2. Carefully choose the applicants whose status you want to change
3. Carefully check through the list and Discard any people you do not want actions to be applied to
4. Highlighting people does NOT make a difference to inclusion in or exclusion from the action performed; so, if the person is in the list when the action is performed - highlighted or not - it will be performed on everyone. People have in the past carefully gone through the list highlighting some people and then been unpleasantly surprised when everyone is deleted!
5. The number next to the Print button will tell you how many people the action will be performed on and is a good last visual check
6. Once you have chosen your list and checked it, go to Action and choose Inactive or Deleted as appropriate
