GDPR (General Data Protection Regulation) Overview

Changes are being made to VebraLive to ensure that you (the controller of the data) can meet your obligations under the General Data Protection Regulations requirements. The following sections are your preview of the forthcoming changes in regard to recording and using consent. We are giving you these screen shots so that you have advance notice of the changes being introduced and can familiarise yourself with their use. You will receive notification of when they will be deployed, along with full explanatory notes shortly.
GDPR Consent
Person screen
On the v1.46 person screen, the consent options have moved to a new ‘Preferences’ tab and additional features added to enable you to capture consent status, the date consent was obtained, and by whom/or how this was gained.
Existing person records
During the update from v1.45 to v1.46 your data will be transferred to the new format as follows. Last updated fields will initially be blank for existing records.
New person records
For new records created after the update, all consent options will default to blank.
(NOTE: Additional controls may appear depending upon the options selected).
Market appraisal
Person records are often created via the market appraisal screen so we have added the option to gain consent for general marketing, property matching and MoveIT services at this stage. There are new options in the bottom right corner (above the client notes). These preferences will be visible on the client record once the market appraisal has been saved.
Self-Serve Webpage
Client emails will automatically be appended with a link below the footer that the client can use to control these communications via a self-serve webpage:
When the client clicks on this link they will be presented with a webpage. This webpage will
show their current preferences and the client can update these as they wish:
When the client uses the ‘Save preferences’ button, they will see a confirmation
message:
These changes are written back into your database every 30 minutes and the person record ‘Last updated’ field will say ‘online’.
Person groups
We have added a new tab to the person group screen called ‘Preferences’. This is to enable you to use the consent status when creating or modifying groups:
When the group results are shown, the ‘general marketing’ and ‘property matches’ consent are shown in the last two columns on the grid. There will also be a summary at the bottom of the results to show how many people do not have consent.
Configuration
By default, ‘general marketing’ and ‘property matches’ are mandatory. You can change which consent options are mandatory within the configuration screen.
You can also control the default MoveIT consent for new records within the configuration screen:
The text which appears at the bottom of emails to clients can also be amended via the configuration screen.
